This Identity Verification Policy explains how ISS Hub (“we”, “our”, “us”) collects, uses and protects identity documents submitted through our website and mobile application. By submitting identification documents, you agree to the terms described in this policy.

Purpose of identity verification

We may require verification to confirm membership eligibility, confirm that applicants meet the membership eligibility requirements, prevent fraud, impersonation or misuse, maintain a safe and trusted community, and comply with internal policies or legal obligations where applicable.

Accepted documents

We may request one or more of the following:

  • Irish Residence Permit (IRP).
  • Public Services Card (PSC).
  • Valid student ID.
  • Proof of enrolment, such as a university letter or document.

We reserve the right to request additional documentation where necessary.

How we use your documents

Your documents are used strictly for identity verification, eligibility confirmation, fraud prevention and account security. We do not use identity documents for marketing, profiling or automated decision-making, and do not share them with third parties unless legally required or necessary for secure processing under a strict agreement.

Legal basis for processing

We process identity verification data under our legitimate interests in maintaining a safe, secure and trustworthy platform, and under legal obligations where applicable under Irish or EU law.

Storage and security

We use appropriate technical and organisational measures, including secure storage, restricted access for authorised personnel, encrypted transmission where applicable, and monitoring and logging of access. Your documents are never publicly accessible.

Data retention

Identity documents are retained only for as long as necessary to complete verification and maintain records needed for fraud prevention or dispute resolution. Where possible, documents will be deleted after verification or stored in a minimised or anonymised format.

Verification outcomes

After review, verification may be approved, rejected when eligibility cannot be confirmed, or left pending when more information is required. ISS Hub reserves the right to make the final decision on verification status.

Your responsibilities

By submitting documents, you confirm that they belong to you, that the information is accurate and current, and that you have the legal right to share it. False or misleading information may result in account suspension, termination or removal from the platform.

Data sharing

We do not sell identity documents. Information may be shared only with trusted service providers under strict agreements where necessary for secure processing, or where required by law or legal authorities.

Your rights

Under GDPR, you may have the right to access your personal data, correct inaccurate data, request deletion, restrict or object to processing and lodge a complaint with the Irish Data Protection Commission (DPC). Contact privacy@isshub.ie to exercise these rights.

Refusal to provide documents

You are not obligated to provide identity documents. However, if verification is required and not completed, access to some features may be limited, membership may not be available, and participation in some events or services may be restricted.

Changes to this policy

We may update this Identity Verification Policy from time to time. Updates will be posted here with a revised date.
